Operations Assistant (PA)
a. Job Highlights:
The Operations Assistant plays a vital role in supporting the AHFS by managing and streamlining all ground-based activities. Operating under the direct supervision and guidance of the AHFS Site Manager, this position ensures that logistical, scheduling, administrative and operational functions are executed efficiently and in full alignment with the AHFS needs. The PA serves as a key link between ground operations and flight training, contributing to the overall readiness and effectiveness of the school.
b. Key responsibilities:
1) Develop and manage daily and weekly schedules for ground school classes, training flights, simulator sessions, and support activities.
2) Liaise with flight instructors, maintenance crews, and support staff to ensure operational readiness.
3) Maintain accurate records of personnel, training activities, and facility usage.
4) Prepare reports, rosters, and documentation for internal and military reviews.
5) Handle correspondence, filing, and document control in accordance with the AHFS needs and military standards.
6) Monitor and support the execution of ground activities including classroom setup, simulator readiness, and facility access.
7) Ensure timely communication between departments to prevent scheduling conflicts or operational delays.
8) Assist in coordinating logistics for visiting personnel, inspections, or special events
9) Support the implementation of standard operating procedures (SOPs) for administrative and
operational tasks.
c. Threshold Conditions:
1) Military or civilian experience in administrative coordination, operations, or logistics.
2) Experience in aviation or defense-related training environments.
3) Strong organizational and communication skills.
4) Proficiency in scheduling tools, spreadsheets, and document management systems.
5) Familiarity with military terminology, protocols, and aviation environments is desirable.
6) Ability to work independently and manage multiple priorities under pressure.
7) Security clearance or eligibility for clearance may be required.
8) English knowledge level – B2
